PARISH SECRETARY (OPS/SS 1)

For the parish of St. James

SCOPE OF JOB

Under the supervision of the Parish Manager, the Secretary 1 (OPS/SS 1) is responsible for providing secretarial and administrative services to ensure the effective and efficient operations of the office.

KEY RESPONSIBILITIES AREAS
  • Types letters, memoranda and reports from draft notes
  • Records, sorts and dispatched incoming/outgoing correspondence
  • Receives and directs all telephone calls to relevant officers
  • Disseminates information to internal/external customers
  • Screens and directs visitor to the appropriate officers
  • Monitors and requests files for relevant officers
  • Prepares and collates documents
  • Maintains an efficient filing system
  • Prepares receipts for monies received
  • Monitors and request praedial receipt books
  • Prepares and makes lodgment and submits the information to head office

    • MINIMUM REQUIRED QUALIFICATION AND EXPERIENCE
      • Three CSEC/CXC subjects including English Language
      • Successful completion of a course of study at an accredited Secretarial School OR Certified      ProfessionalSecretary (CPS) certification.
      • Proficiency in typewriting at a speed of 30-35 w.p.m.
      • Knowledge of word processing software (basic level) would be an additional asset at this level.
